Managing Flex Fields

Flex fields can be built to track covenants at the Credit, Loan, Deposit, or Trust Level.

Adding a New Flex Field

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab to add a Flex Field (Credit, Loan, Deposit, or Trust)
  4. Select Add New___ Field Group link
  5. Define the following fields:
    • Group Label - Name to identify the group.
    • Group Order - Will determine the order the group will display in the list of groups. If all groups are set to "0" the list will be arranged alphabetically.
    • Group Name - (optional) can be left bland and will be defined by the system
  6. Select Update
  7. Select Add New ___ Field link, to create a new Flex Field at the Customer Level
  8. Define the following fields below: (additional fields may show based on Data Type Choice, Decimal or Integer)
  9. Once Complete, Select Update
  • Field Label - Must be a unique name in the system
  • Default Status - Select if Active or Inactive. Check the box to reset all existing Flex Fields to this status.
  • Data Type - Covenant Flex Fields must contain a numeric value. Data Type must be set to "Integer" or "Decimal" for the Covenant option to appear.
  • Searchable - Is a searchable field on the search screen.
  • Displayable - Is displayable on the Customer Page.
  • Display Order - Order in which the field is arranged within the other fields in the group.
  • Unique Name Identifier - (optional) May be left blank. Will be defined by the system based on the Field Label.

Info

Adding a Loan flex field has a slightly different screen. The "Is Collateral Field" displays and will allow you to check the box if you are adding a collateral flex field.

 

Editing a Flex Field

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab (Credit, Loan, Deposit, or Trust)
  4. Select the Edit icon next to the Field Group Name and/or Field Name
  5. Make necessary changes, Once complete Select Update

 

Deleting a Flex Field

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab (Credit, Loan, Deposit, or Trust)
  4. Select the Field Group Name
  5. Then Select the Delete icon next to the Field Name, Confirm the deletion, by Selecting Delete 

Note:

You will only have the Delete icon available for a Group once all the Field tied to the group have been deleted.

Managing Covenants

Covenants are a calculated value based on many factors.  Within AccuAccount, covenants are tracked as a single Flex Field per covenant.  AccuAccount is not responsible for the calculation of the Covenant Flex Field.  AccuAccount will, based on covenant rules, determine if the current value is less than or greater than specified values when the covenant is defined.  If the value is outside the covenant rule, then the covenant is said to have "An Exception" and will be flagged as such on the customer page and exception reports.  Covenants in AccuAccount must be numeric fields. 

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab to add a Flex Field (Credit, Loan, Deposit, or Trust)
  4. Select Add New___ Field Group link
  5. Define the following fields:
    • Group Label - Name to identify the group.
    • Group Order - Will determine the order the group will display in the list of groups. If all groups are set to "0" the list will be arranged alphabetically.

  6. Select Update
  7. Select Add New ___ Field link, to create a new Flex Field at the Customer Level

  • Field Label - Must be a unique name in the system

  • Display Order - Order in which the field is arranged within the other fields in the group.
  • Is Covenant - Identifies the Flex Field as a Covenant.
  • Default Test Frequency - Defines how often Covenant information is reviewed.
  • Minimum Test Value - Minimum numeric value allowable to be considered within normal range.
    • Ignore Min Value Test - Minimum value is irrelevant and will be ignored when "flagging" exception.
  • Maximum Test Value - Maximum numeric value allowable to be considered within normal range
    • Ignore Max Value Test - Maximum value is irrelevant and will be ignored when "flagging" exception.
  • Unique Name Identifier - (optional) May be left blank. Will be defined by the system based on the Field Label.

 

Manage Covenant details from the Customers Page

  1. Select a Customer in AccuAccount
  2. Select the Edit icon (Credit, Account, or Collateral)
  3. Make any necessary changes to the covenant.
  4. Once complete, Select Update
  • If a numeric value entered is outside the established Covenant parameters, the field will be "flagged" as a Covenant Exception.
  • All Covenants are displayed in the lower portion of the Exception Tab. The "timer" icon indicates there are Covenant values which require review.
  • Covenant Current Value and Covenant Last Reviewed information can be edited by clicking on the Edit or Timer Icons.
  • Enter the Current Value and Covenant Last Reviewed date. Date information can be entered manually or by using the calendar icon. Update to save information. This will set the review date and clear the "Timer" icon until the next review period, based on the current "Frequency" setting.
  • Other available options from the Edit icon include:
    • Current Status - Covenant can be set to Active or Inactive on a per customer basis. Setting the status to Inactive will move the Covenants to the background. I can be reactivated by selecting Show All Exceptions.
    • Covenant Rules - Deselecting the Use Defaults box allows the Covenant Rules to be edited on an individual customer.

 

Editing Covenants

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab (Credit, Loan, Deposit, or Trust). You can see all covenants that are built by viewing the Covenant column. If a Green dot appears here, then there are covenants defined. If a Red square exists, that is a normal flex field and not a covenant.
  4. Select the Edit icon next to the Field Group Name and/or Field Name
  5. Make necessary changes, Once complete Select Update

 

Deleting Covenants

  1. From AccuAccount menu, Select Admin
  2. In Other Maintenance, Select Flex Field Maintenance
  3. Select the appropriate tab (Credit, Loan, Deposit, or Trust). You can see all covenants that are built by viewing the Covenant column. If a Green dot appears here, then there are covenants defined. If a Red square exists, that is a normal flex field and not a covenant.
  4. Select the Field Group Name
  5. Then Select the Delete icon next to the Field Name, Confirm the deletion, by Selecting Delete 

Warning

Any Flex Field/Covenant data that may be on the customers page will be deleted once this action is taken.
